Privacy notice
KNAM Media TaskBoard (formerly KNAM Time Clock). Last updated October 28, 2026 (location checks added).
This notice explains what the KNAM TaskBoard app records about you, why, and who sees it. KNAM Media ("KNAM", "we") runs the app for its team.
What we record
- Who you are: your name, your PIN (to sign in), and when you agreed to these terms.
- Your time: clock-in and clock-out times, breaks, the jobs you type, and hours you add later.
- Location: your phone's GPS position and accuracy at the moment you tap a time button or open the app while clocked in, or the place you type instead. We show it as "In shop" or the distance from the shop and from the job, with a map link and the nearest street address for Max.
- Device: the kind of phone and whether you used the app or a browser (for example "iPhone app").
- Requests: days off, missed hours, expenses with receipt photos, and messages you send to Max.
What stays on your phone
So the app opens quickly, your phone remembers your PIN and your last screen. "Sign out of this phone" erases them.
Why we use it
- To pay you correctly and on time, including overtime, days off, bonuses and expenses.
- To know which job time belongs to, for scheduling and for billing clients.
- To approve your requests and answer your messages.
- To keep the payroll and tax records the law requires.
Who sees it
- Max and KNAM Media management.
- KNAM's accountant or payroll provider, only what they need to do payroll and taxes.
- Government agencies, only if the law requires it.
Your records are stored in KNAM's Google Workspace account (Google Sheets and Google Drive). The app's pages and phone notifications are served by Vercel, which does not keep your time records. To show Max a street address, a GPS spot is looked up on OpenStreetMap (the spot only, never your name). We never sell your information.
How long we keep it
As long as you work with KNAM, and after that as long as payroll and tax rules require (in New York, at least six years for payroll records). Receipt photos are kept with KNAM's expense records.
Your choices
- You can turn off location for the app and type the place instead. Typed places are marked as typed.
- You can ask Max to see your records or to fix anything that is wrong.
- You can change your PIN any time.
Changes
If we change this notice, the app asks you to read and agree again.
